Telegram Notifications

Overview

The Telegram Notifications feature in Mysched allows admins and staff to receive real-time updates about appointments and other important events directly through Telegram. Unlike email notifications, Telegram offers more immediate and operational notifications, ensuring that you are always informed about critical updates such as new appointments, rescheduled bookings, and cancellations.

This feature is primarily designed for admins and staff members, meaning customers will not receive Telegram notifications. Notifications can be configured for a variety of events, such as new appointments, status changes, reminders, and more, using the Workflow module. By using shortcodes, you can further customize the content of your notifications, including appointment details, customer names, and custom inputs.

Key Features

  • Real-time notifications for admins and staff when a new appointment is booked, rescheduled, or canceled.
  • Multiple recipients: You can send notifications to multiple staff members and admins.
  • Customizable content: Use shortcodes to include dynamic content in your Telegram messages, such as appointment details, customer information, and links (e.g., Zoom meeting URLs).
  • Attachment support: Attach appointment invoices or other documents (e.g., PDFs) directly in Telegram notifications.

Setting Up Telegram Notifications

To set up Telegram notifications in Mysched, you need to create a Telegram bot and integrate it with the platform. Here's how to get started:

  1. Create a Telegram Bot:

    • Open Telegram and find the BotFather by searching for it in the Telegram app.
    • Start a chat with BotFather and type /newbot to create a new bot.
    • Choose a name for your bot and set a username. The username must end with _bot. For example: mysched_notifications_bot.
    • BotFather will generate a token for your bot. Copy this token.
  2. Enter the Token in Mysched:

    • Go to the Mysched admin panel and navigate to the Telegram settings.
    • Paste the bot token in the appropriate field.
  3. Interact with Your Bot:

    • Find the bot you just created in Telegram and send it a message (any text will do).
    • This action will allow Mysched to recognize your Telegram account, making it available for selection in workflows.
  4. Set Up Workflows for Telegram Notifications:

    • Go to the Workflow module in Mysched.
    • Create a new workflow and select Send Telegram Message as the action.
    • In the "To" section, select the staff or admin who will receive the notification. Staff members must also interact with the bot in Telegram for their names to appear in the list.
  5. Prepare and Save the Workflow:

    • Customize the message content using shortcodes, such as appointment date, customer name, or Zoom meeting URL.
    • Save the workflow and test it by making a test appointment to ensure the notifications are working correctly.

Types of Telegram Notifications

1. Notifications for New Appointments

When a new appointment is booked, a Telegram notification will be sent to the selected recipients. This helps keep you informed in real-time about all new bookings made through the system.

2. Notifications for Rescheduled Appointments

When a customer reschedules their appointment through the Customer Panel, or a staff member updates the appointment details, a notification will be sent to both the customer and staff, ensuring everyone is aware of the updated schedule.

3. Notifications for Canceled or Status-Changed Appointments

Whenever an appointment is canceled or its status is updated (e.g., from pending to confirmed), Telegram notifications are triggered to keep the relevant parties informed. Filters can be applied to send different notifications based on the previous and current status of the appointment.

4. Reminders Before the Appointment

You can configure reminders to be sent via Telegram before the appointment starts. For example, a reminder can be sent 1 hour before the appointment or a Zoom link 15 minutes before the meeting.

5. Notifications After the Appointment

Telegram notifications can also be sent after an appointment ends, such as a follow-up message asking for feedback or promoting additional services.

6. Notifications for New Customer Creation

When a new customer registers on your booking platform, a Telegram notification can be sent to the admin or staff. This notification can include the customer's details, such as their name and email address, using shortcodes.

Conclusion

The Telegram Notifications feature in Mysched provides a real-time, effective way to keep admins and staff informed about appointments and changes. By integrating with Telegram, you can ensure faster and more efficient communication for critical events. If you need to customize your notifications or set up specific workflows, you can do so through the Workflow module, making use of the flexibility and automation that Mysched provides.
