The WhatsApp Notifications feature in Mysched allows you to send instant notifications to your customers and staff members via WhatsApp. This system helps enhance communication and improves the overall quality of service by ensuring that both customers and staff are kept up to date about appointments.

Important Notes:

  1. Tenants do not need to provide their own phone numbers or purchase numbers for WhatsApp notifications. Mysched uses a pre-configured number to send all WhatsApp notifications.
  2. WhatsApp notifications are sent according to Facebook Meta WhatsApp rules, which require notifications to be sent using predefined templates. These templates are provided by Mysched and are available in the Workflows section.
  3. If tenants require custom notifications, they must contact the Mysched support team to ensure the correct setup of these notifications.

Key Use Cases for WhatsApp Notifications

1. Sending WhatsApp Notifications for New Appointments

When a customer books a new appointment, a predefined WhatsApp notification is automatically sent to confirm the booking. This notification provides the customer with the date, time, and details of their appointment, ensuring that they are informed immediately after the booking is made.

2. Sending WhatsApp Notifications for Rescheduled Appointments

If a customer reschedules an appointment using the Customer Panel, or if a staff member makes changes via the admin panel, WhatsApp notifications are sent to both the customer and the staff member. This ensures that everyone is aware of the updated appointment details, reducing the risk of missed or confused bookings.

3. Sending WhatsApp Notifications for Canceled or Status-Changed Appointments

Whenever a customer cancels an appointment or changes its status via the Customer Panel, Mysched sends a WhatsApp notification to notify the relevant parties. Similarly, if a staff member cancels or changes the appointment status from the admin panel, notifications will be sent to the customer. You can configure these notifications to trigger based on specific status changes (e.g., when a customer cancels an approved appointment).

4. Sending WhatsApp Reminders Before Appointments

Mysched allows you to send automated WhatsApp reminders before an appointment. For example, you can configure the system to send a reminder 1 hour before the appointment starts, helping reduce no-shows and ensuring that customers are well-prepared for their appointments.

5. Sending WhatsApp Notifications After Appointments

After an appointment ends, you can send follow-up WhatsApp notifications to customers. This could include a thank-you message, a request for feedback, or information on future services. Sending a reminder shortly after the appointment can help maintain engagement with your clients and encourage repeat bookings.

6. Sending WhatsApp Notifications When a New Customer is Created

When a new customer creates an account through your booking system, an automated WhatsApp notification can be sent to welcome them. If the Customer Panel is enabled, the customer will receive a random password and a link to access their panel. This provides a seamless onboarding experience and ensures the customer can manage their future appointments easily.

Workflow and Template Management

Mysched's Workflow module includes predefined templates for sending WhatsApp notifications. These templates are required by Facebook Meta’s WhatsApp rules, and tenants cannot create their own templates without assistance.

Predefined Templates:

  • Booking Confirmation: Sent after a new appointment is made.
  • Rescheduling Confirmation: Sent when an appointment is rescheduled.
  • Cancellation Notification: Sent when an appointment is canceled.
  • Reminder Notification: Sent at a specified time before the appointment.
  • Follow-up Notification: Sent after the appointment ends.
